Questions before you upload anything
Straight answers about what the scan checks, what it costs, what data it reads, and what’s still planned rather than live. If something here changes, this page changes with it — nothing on this site describes a feature that isn’t actually running.
What it does
- What does LedgerClear actually check?
- It diffs your Shopify orders, refunds, and payouts against your QuickBooks Online ledger, line by line, and reports every place they disagree: orders missing from QuickBooks, revenue that's lower than it should be, tax that looks doubled or missing, and payout mismatches. Every finding shows its proof side by side - the Shopify record and the QuickBooks record - not just a headline number.
- Is this a replacement for my Shopify-to-QuickBooks sync (A2X, Synder, the official connector)?
- No. LedgerClear doesn't sync anything - it checks whichever sync you already run. It audits per-order syncs today (the official Shopify connector and Synder). Summary-posting tools like A2X and Link My Books post one lump entry per settlement instead of per order, and auditing that shape of data needs different logic that isn't built yet - that support is planned, not available now. If you're on one of those, LedgerClear runs alongside it without touching its entries.
- What's a "confirmed" finding versus "needs review"?
- Every finding gets a confidence tier. Confirmed means the scan has enough evidence from both sides to be sure. Likely timing means the discrepancy is inside a settlement grace window (5 business days by default) and will probably resolve on its own as the payout settles - those get rechecked automatically on every scan. Needs review means the data couldn't fully substantiate the finding (common with CSV uploads, which carry less detail than a live connection). Only confirmed findings count toward the headline discrepancy number, so that number is never inflated by something the scan wasn't actually sure about.
- Does it fix anything automatically?
- No. LedgerClear never posts to your ledger on its own. The paid cleanup proposes correcting journal entries; you approve or skip each one individually. Every entry that does get posted ships with a ready-made reversing entry, and any correction dated inside a closed or filed tax period (VAT or filed US sales tax) is propose-only, always - it can never be posted from LedgerClear, because a reversing entry can undo a ledger post but it can't unfile a return.
Running the free scan
- How do I run the free scan - do I have to connect my accounts?
- No connection needed for the free scan. You export two CSVs yourself - one from Shopify (Orders → Export) and one from QuickBooks Online (Transaction List by Date, or Sales by Customer) - and upload them at /scan. The exact columns each export needs are documented at /docs/csv-formats. You can also run the scan on sample data first if you want to see the product before touching your own books.
- How long does the scan take?
- The engine itself runs in well under a second once your files are read. What you'll see on screen is a staged progress view (connecting, reading each file, matching line by line, applying confidence tiers) that takes about a second and a half - that's a deliberate pace so you can see what the scan is actually doing, not a sign it's slow.
- What do I get from a CSV upload versus a live connection?
- The scan logic is identical either way, but a CSV export carries less detail than a live API read. Notably: the Shopify orders export only has order-level tax, never the line-level split, so tax findings from CSV are always needs-review rather than confirmed. And without QuickBooks reference numbers linking each transaction to an order, only an exact one-to-one amount match can link a row - anything ambiguous is left unlinked and listed in the scan's warnings so you can see exactly what wasn't checked.
Pricing and the paid cleanup
- What does LedgerClear cost?
- The scan is free, with no account required. If it finds confirmed discrepancies, the one-time cleanup is $99 flat - it proposes the correcting journal entries after one guided step where you confirm your QuickBooks account mapping. Continuous monitoring ($29/mo per store, $79/mo for bookkeepers monitoring multiple client stores) is planned but not sold yet - see the monitoring question below for why.
- What do I get for the $99 cleanup, exactly?
- A full itemized report, proposed correcting journal entries for every confirmed discrepancy, and one guided account-mapping step so the entries land in the right QuickBooks accounts - this isn't zero-setup, and we say that plainly rather than promising magic. From there it's per-entry approve or skip, a reversing entry with every post, and anything in a closed or filed period stays propose-only regardless of what you approve.
- Is there a refund if the cleanup doesn't help?
- Yes - a full refund on request within 14 days of purchase, no questions asked. The window starts at purchase, not at first use. Because every posted entry ships with a reversing entry, what LedgerClear posts stays reversible even after the fact. Request a refund by emailing support@ledgerclear.io from the account's email address.
- Is checkout live - will my card actually be charged right now?
- LedgerClear is a live, deployed product, but payments are still in preview: checkout is currently simulated rather than running through a live Stripe account, so nothing is charged today no matter which tier you click. The site says so wherever checkout appears. This will be updated the moment live payment processing goes live.
Data privacy and security
- What data does LedgerClear actually see, and what happens to my files?
- As little as the audit needs. From Shopify and QuickBooks it reads amounts, taxes, quantities, currencies, dates, and order/refund/payout/transaction IDs - that's it. It never requests customer names, emails, addresses, phone numbers, or payment details from either system, so it can't see, store, or lose them. On a CSV upload the same rule applies at the parser: columns are allow-listed (up to 5 MB and 20,000 rows per file), and anything that looks like a name, email, phone, address, city, ZIP, or company field is rejected outright even if it appeared in an otherwise-allowed column. Uploaded files are parsed in memory and discarded with the request - never written to disk. Only the derived findings persist, and only if you choose to create a shareable report link.
- What access does LedgerClear ask for when I connect Shopify or QuickBooks directly?
- Read-only scopes only. The scan itself cannot write anything, anywhere - write access exists only in the paid cleanup flow, and even there, entry by entry, on your click. One click revokes both OAuth tokens and deletes your cached data; you can also revoke access directly from Shopify's or Intuit's side at any time.
- What can't LedgerClear see or check?
- It's upfront about scope rather than hiding it: bank feeds (if a discrepancy's root cause lives there, the report says so and points you to a bookkeeper instead of guessing), POS or non-Shopify sales channels, why a manual journal entry was made (only that one was), and - at launch - summary-posting sync tools like A2X, which need auditing support that isn't built yet. - Is any of this tax or accounting advice?
- No. LedgerClear is software, not an accountant. Scan results, proposed entries, and the fix guides are not tax, accounting, or legal advice. Filed-period items and judgment calls are meant to route to your bookkeeper or accountant - confirm anything material with a professional before acting on it.
Monitoring and multi-client (planned)
- Is continuous monitoring available yet?
- Not yet - it's planned, not sold. Monitoring needs live, ongoing read-only connections to Shopify and QuickBooks, and those app integrations are currently in Shopify/Intuit's developer review process. Until that clears, there's no scheduler and no nightly re-scan running, and the pricing page and llms.txt both say so in plain language rather than describing a feature that isn't live.
- What is the $3 "priority access" charge on the pricing page?
- It reserves a place in line for when monitoring opens - it is not a subscription, it starts no recurring charge, and it doesn't grant any monitoring service today because that service doesn't exist yet. It exists so LedgerClear knows who wants it first, not to bill anyone early. It's refundable on request, no questions asked, same as the cleanup.
- What will monitoring do once it ships?
- The plan: a nightly re-scan that emails you only when a new confirmed discrepancy shows up, and billing that pauses automatically if the underlying connection breaks - silence should never be sold as healthy books. The bookkeeper multi-client tier is the same monitoring applied across every client store from one place, with per-client reports ready for the workpaper file.
